Now You Can Add Your Custom Gems to Workspace Studio to Work More Smart

Automating your work just got a whole lot more personal. Google Workspace rolled out a major integration: you can now add your Gems directly into your Workspace Studio flows.

For those using Workspace Studio to build no-code automations, this update is a massive level-up. It means your automated workflows don't just use generic AI they use the custom AI agents you’ve already trained with your specific knowledge, tone, and business rules.

How it Works: The "Ask a Gem" Step

Inside the Workspace Studio canvas, you’ll find a new action called the “Ask a Gem” step. This allows you to plug your private Gems into any part of an automated sequence.

  • Tailored Knowledge: If you have a Gem trained on your company’s specific HR policies or brand guidelines, you can now build a flow that automatically passes a new document to that Gem for review or a summary.
  • Specialized Automation: You can use Gems to handle complex tasks like drafting customer support replies, categorizing project updates, or rewriting content for different audiences all as part of a multi-step flow.
  • Drive Integration: For now, this feature works with any Gem that has Google Drive files in its knowledge base. (Note: Gems relying on Google Photos or other specific file types won't appear in Studio just yet.)

Why This Matters: Moving Beyond Simple Bots

Workspace Studio was already powerful for connecting apps like Gmail, Drive, and Chat. But by adding Gems into the mix, your automations become agentic.

Instead of a simple if-this-then-that rule, you’re creating a workflow that can reason. For example, a flow could detect a new customer request in a Google Form, send it to your specialized "Support Gem" for a solution, draft a personalized email in Gmail, and then alert your team in Google Chat. It turns a sequence of tasks into a smart, self-managing process.

  • Promotional Access: Through June 1, 2026, Workspace customers have higher usage limits in Studio to experiment with these new Gem integrations.
  • Availability: Rolling out now to Business (Starter, Standard, Plus), Enterprise (Standard, Plus), and Education tiers, as well as users with Gemini AI add-ons.
  • Admins: This feature is ON by default if you’ve already allowed Gemini steps in Workspace Studio.
